Introduction This document sets out the standards for the design and implementation of AccorHotels Luxury Group Guest Technology & Innovation Systems. These must be used for all renovation projects and new build hotels within the AccorHotels Luxury Group portfolio. It is also intended as a guide which must be adhered to in order to provide installations which meet the requirements of AccorHotels Digital Services. It is the responsibility of the Luxury Group to set and publish the global IT standards, while the Regional IT Department in each country is accountable for ensuring that they are implemented correctly. AccorHotels will also work with carefully chosen preferred partners who are fully versed with these standards to carry out installation.

Free to Guest TV Services Public Broadcast Services Accorhotels Luxury Group hotels must install incoming TV services from locally approved public broadcasting services delivered via antenna, cable or satellite. The provider must be chosen based on their ability to deliver the channels required (see section TV and Radio Channels) reliably and to as high a quality standard as possible. High definition content is mandatory when available. Accorhotels Luxury Group hotels must design and implement the necessary infrastructure to facilitate the service delivery. Please see the most recent AccorHotels Luxury Group Cabling Infrastructure Standards for details of the cabling requirements.

TV and Radio Channels Brand Specific Requirements

The international channel selection must be in line with the typical guest demographic.

The choice of TV and Radio channels is an important factor in making our guests feel at home. Channel selection therefore must take the guest language and nationality demographics into account.

Channel Source The channel delivery for the entertainment systems depends on the locally available services. Hotels must choose the services that provide the best available quality (HD preferred) and reliability of service. Before deciding on a particular content source, the channel requirements for the brand as detailed in this section must be reviewed to ensure that the selected supplier can provide the required channels.

TV Channels All Accorhotels Luxury Group branded hotels must offer the following as a minimum in their rooms and suites: —— 50 TV channels —— 4 Radio channels —— Local channels —— At least 1 International News channel —— TV5 Monde and France 24 in either English, French or Arabic (For Sofitel, Pullman, and M-Gallery) —— At least 1 Brand Marketing channel

Interactive Services Brand Specific Requirements

Compatibility

—— Interactive TV Services typically include:

The system must be compatible with the hotel’s in room entertainment systems. Where set top boxes are required for this integration, they must be approved under local legislation.

—— Pay-per-view video on demand —— Free of charge video on demand —— In-room services such as message delivery, bill view and in-room check-out —— Hotel branded promotional channels —— Internet based interactive services such as movie streaming or catch up TV. The provision of interactive services is mandatory for all Raffles, Sofitel Legend, SO, Oriental Express and Fairmont hotels and optional for all Sofitel, Movenpick, M Gallery, Swissotel, Pullman hotels and Grand Mercure. Where installed, the Systems must comply with the minimum technical requirements detailed in the following pages.

An interface to the hotel’s PMS system is recommended in those hotels that charge customers for the provision of content on demand.

Hotel Promotional Content The system must offer the ability to design a unique branded user interface and hotel branded channel delivering promotional video content. The hotel branded channel must be the default channel and show first when the TV is turned on and should also greet the guest by name.

System Management

Functionality Standards

Firmware, channel updates and other system management activities must be delivered remotely and not require visits to individual guest rooms to update equipment.

Local Legislation

The system must offer detailed management reporting to allow the usage evaluation of the various channels and services by the hotel management team.

All Systems installed at AccorHotels must comply with and be approved for use under local legislation. This includes any content distributed by the hotel through the system.

TV and Audio Systems Brand Specific Requirements All television sets must comply with the following functionality/technical standards:

Compatibility TVs must be compatible with the hotel’s Interactive Service System and integrate with the rest of the TV Distribution System.

Local Legislation All equipment installed at AccorHotels Luxury hotels must comply with and be approved for use under local legislation. They must be Hospitality grade as indicated by the manufacturer.

Screen Type: Bedrooms & Suites All televisions sets must be flat screen HD LED sets. All TV sets must be CEC compliant to facilitate the integration with active connectivity panels (see the relevant section in this document.)

TV and Audio Systems — Functionality Standards Screen Type: Bedrooms & Suites Cont.

Screen Type – Bathrooms

Hospitality Grade TV

Compatibility

All TVs must be hospitality grade that enables a TV set to be used in a hotel environment. This must include as a minimum:

All TV sets installed must be approved for installation in bathrooms/wet rooms and CEC compliant.

—— Volume limiter to allow the setting of maximum volume levels to ensure that neighbouring rooms are not unduly disturbed through loud TV sound. —— On-screen clock display, sleep timer and wake –up clock —— Lockout of controls (on the front panel as well as for all display menus) to prevent the settings from being tampered with. —— USB cloning – i.e. Allow the settings of one TV to be copied via USB stick to others in the property —— The default channel when turning on the TV is NOT the last channel watched by the user, but the information channel displaying the hotel/brand logo and promotional video.

Remote Control All television sets must come supplied with one universal hotel-grade, easy–to-use remote control. Users must be able to switch quickly and easily between channels by either entering the channel number or using the ‘Program up/down’ buttons on the remote control. The remote control must be locked – i.e. May not override the settings on the television set (for example the maximum volume).

TVs must be compatible with the hotel’s Interactive Service System and integrate with the rest of the TV Distribution System.

Hotel Mode The TV must offer the following hotel mode functionality as a minimum: —— Volume limiter to allow the setting of maximum volume levels to ensure that neighbouring rooms are not unduly disturbed through loud TV sound. —— The default channel when turning on the TV is NOT the last channel watched by the user, but the information channel displaying the hotel/brand logo and promotional video. —— Allow flexible channel allocation so that the same channel line up as in the other rooms of the suite can be configured.

Remote Control All bathroom TVs must be supplied with a waterproof remote control certified for use in bathroom/wet room environments. Mirror TV —— Mirror TV is acceptable if design calls.

Sound Bar Equipment

Purpose Designed

Compatibility

Speakers must be designed for the location they are to be installed in – i.e. ceiling speakers must be designed for stable installation in that space.

The SoundBar must be compatible with the Television set and various other audio visual electronics installed and offer enhanced sound quality. The SoundBar must be able to produce the full sound spectrum without the need to install a subwoofer or similar equipment.

Remote Control The SoundBar must be controlled through the single universal remote control in the room – not through a separate dedicated device.

Connectivity The SoundBar should offer bluetooth connectivity in addition to the cabling connection to the TV set.

Bathroom Speakers Compatibility All bathroom speakers installed must be humidity resistant and approved for installation in bathrooms/wet rooms. The speakers must be compatible with the relevant source (i.e. the bedroom TV or bathroom TV depending on the type of room). Independent volume controls in bathrooms are optional but recommended. However, where these are not installed, the volume of the bathroom speakers must be controllable through the universal TV remote control.

TV and Audio Systems — Design Guidance The following design guidance rules must be followed during the installation process

Furniture Integration Television sets in bedrooms and living rooms must not be integrated into any furniture – this makes it easier to install, maintain and replace them. Depending on the room design, television sets can be wall-mounted (with either a flat or a tilt bracket) or pedestal mounted, so that the guest has a comfortable viewing distance from both the bed and the easy chair in the room.

Cable Management

Speakers must be built into the ceiling or be integrated into the bathroom mirror arrangement.

Sound Installation Where SoundBars are installed the room design must take into consideration any necessary sound insulation necessary to ensure neighbouring guest rooms (be they inside the same suite or not) are not unduly impacted by the sound levels.

Accor Hotels Luxury Group has two approaches to this need: 1. Wireless Streaming or Casting of music and video. Some of the Accor Luxury Group Interactive TV Platforms provide this functionality. 2. Active Connectivity Panels. These provide the guest a means to play personal content to the TV if a Wireless solution is not an option. In addition, the Connectivity Panels also include a power supply, so that guests can charge their own devices easily and conveniently. Connection cable kits must be available at reception on free loan to guests, if required.

Furniture Integration The connectivity panel must occupy as small a footprint as possible. The connectivity panel must be integrated into the furniture in an easy to use location such as the desk, so that guests can safely place their devices next to the connectivity panel.

Cable Management All cables must be concealed – i.e. The power cable as well as the connection cables between the connectivity panel and the AV System.

Power Management The power supply must not be switched off by the master power switch for the room.

User Instructions User instructions must be placed on the front of or next to the connectivity panel and may also be included in any electronic guest information application.

In-Room Music Brand Specific Requirements In-Room Music Systems offer guests the convenience of easily connecting their own devices to play their favourite music on a great sound system. They are an integral part of the brand technology product portfolio. In Room Music Systems By Brand Raffles, Fairmont, Sofitel, Sofitel Legend, So and Oriental Express* All rooms and suites must be equipped with a Bluetooth enabled music system. Mgallery, Pullman, Swissotel, Grand Mercure and Movenpick* All rooms and suites must be equipped with a Bluetooth enabled speaker. Alternatively, a Bluetooth enabled music system may be installed as an optional substitute. *All in-room music devices installed must meet the technical specifications detailed in this document. See Guest Technology product and supplier guide for brand specific product alignment.

In-Room Music — Design Guidance The following design guidance rules must be followed during the installation process

Location The system is to be located on the night stand or facing the bed.

User Guide A quick start guide is to be placed next to the device. This must as a minimum detail: —— How to connect to the device via the audio jack —— How to connect to the device via Bluetooth —— How to use the various audio playing features.

Power Management —— The system must be mains powered and the power supply must not be switched off by the master power switch for the room.

Recommendations —— Pre-set a range of radio stations to reflect the country/language demographics of the customer base and include a channel list in the user guide.

Security Lanyard, 60cm Steel Wire.

Secure metal housing for mains power cable

One end of the lanyard is secured into the rear of the music device, the other end of the 60cm steel wire cable is fixed to the underside of a desk or night stand or similar.

The metal housing allows the main power cable to be secured. It is recommended to pass the main power cable through furniture then to plug into the music device and attach the secure metal housing. This reduces the guest’s ability to disconnect the music system from the main power.

Minibar Brand Specific Requirements

Minibar Requirements by Brand

Minibars add extra convenience for guests while they work in their room or enjoy the in-room entertainment available. As such they are an integral part of the brand product.

All Accorhotel Luxury Group Brands

Automatic minibars offer the advantage of efficient stock management and processing of guest charges without the increased staffing levels associated with manual minibars. Minibars are available in either the standard configuration or drawer style.

Hotels of up to 200 rooms: —— Standard rooms must be equipped as a minimum with manual minibars of at least 40 litre capacity. —— Executive rooms and Suites must be equipped as a minimum with manual minibars of at least 55 litre capacity. Hotels larger than 200 rooms: —— Standard rooms are recommended to be equipped with automatic minibars of at least 40 litre capacity. Executive rooms and Suites must be equipped with automatic minibars of at least 55 litre capacity.

Minibar — Functionality Standards All minibars installed must comply with the following functionality/technical standards

Local Legislation All equipment installed at AccorHotels must comply with and be approved for use under local legislation.

Network Connectivity Automatic minibars must be networked to the management application server located in the main equipment room of the hotel. Wired connections are preferred over wireless connectivity, but both are acceptable. An interface to the hotel PMS System is recommended, but optional.

Housing Cabinet:

Metallic, zinc-coated steel;

Colour:

Anthracite grey or black depending on room design scheme;

Door:

Double glazed door to ensure good product visibility to increase sales. Doors must be adjustable to open to either the left or right hand side and include a magnetic seal and lock.

Interior Made from white ABS, offering and interior light and at least two height adjustable shelves.

Cooling Operation The minibar must operate silently to avoid disturbance during the night. A thermostat with adjustable temperature and on/off setting must be easily accessible. The minibar must offer auto-defrost functionality.

Minibar — Design Guidance The following design guidance must be followed during the installation process Minibars may be free-standing or integrated into furniture. Where the minibar is integrated, the following guidelines to achieve sufficient ventilation apply: —— For cooling purposes, the air needs to flow freely around the cooling unit and exit unhindered at the top —— An air grill integrated into the furniture door ensures additional ventilation for integrated minibars Manufacturers instructions must always be followed.

Telephony Brand Specific Requirements

Other Standard Requirements

The AccorHotels Telecommunication Standards at present include the following requirements for telephony in Guest Rooms

The telephone connections in the guest rooms must be configured as an extension on the hotel telephone system (i.e. all phones in a room will ring simultaneously when the guest room extension is called and all message waiting lights will be turned on/off depending on the status of any guest messages received). Direct access to an outside line may only be provided for the duration of a the guest stay – i.e. Lines be opened on check-in and closed on check-out. To facilitate this, the installation of a PMS interface is mandatory.

All AccorHotels Luxury Group hotels must install the following:

Guest Bedrooms —— 1 Cordless desk telephone at the bed side table

Calls must be logged and charged through the hotel call accounting system so that they can be billed to the guest accordingly.

—— 1 Corded telephone at the desk

Suite Bedrooms —— 1 Cordless desk telephone at the bed side table —— 1 Corded telephone at the desk

Suite Living Rooms —— 1 Cordless telephone with charging unit on the desk

Bathrooms Bathroom Telephones are mandatory only where required under local legislation.

Guest Room Safes Brand Specific Requirements AccorHotels takes security and especially protecting guests property very seriously. A suitable safe for guests to store their valuables in is therefore an important part of the brand product. Safes are available either in standard configuration or drawer style.

Guest Room Safe Requirements By Brand Raffles, Fairmont, And Sofitel Guest Room safes are mandatory in all guest rooms and suites. Mgallery Guest Room safes are mandatory in all guest rooms and suites. Pullman, Swissotel, Grand Mercure And Movenpick Guest Room safes are mandatory in all guest rooms and suites. All safes must comply with the functionality and technical requirements detailed in this document.

Guest Room Safes — Functionality Standards All Guest Room safes must comply with the following functionality/ technical standards

Power Supply

Local Legislation

The safe must be battery powered and equipped with flash memory. Batteries must be accessible from the outside of the safe to facilitate easy change over. While removing or changing the battery the safe may not automatically unlock/open.

All equipment installed at AccorHotels must comply with and be approved for use under local legislation.

Electronic Safes Guest room safes must be electronically operated – key operated safes are not acceptable.

Laptop Storage The safe must be laptop storage compatible for laptops up to 17”. It must be supplied with an internal carpet to prevent scratching of stored items. Sofitel, Pullman, And Mgallery Brands

Safes must be compatible with the following standards:

A power socket must be provided inside the safe to allow charging of devices. Acceptable power supply sockets are US, UK and European 2-pin or a combination thereof. It is recommended that the power socket(s) be mounted on the inside of the door to make them easily accessible.

Locking Mechanism

Power in the safe is not required.

The locking system must use an interlocking deadbolt mechanism and allow doors to be locked by operating a push button control.

Security And System Management

The security code pad must offer an LED display based on an ADA compliant keypad for clearly visible numbers. Customer security code configuration must be based on a freely selectable 4 digit code.

The system must offer the ability to download and print an audit trail of at least the last 50 safe operations. A secure method for opening safes in an emergency must be available at the hotel. Any relevant hardware/passcodes or similar must be kept secure in the hotel safe.

Guest Room Safes — Design Guidance The following design guidance rules must be followed during the installation process

Location Safes must be installed inside the wardrobe or similar enclosed piece of furniture at a convenient height for operation by the customer. Standing safes on the floor is to be avoided.

Power Supply All cables must be hidden from view. The power circuit may not be included in the guest room master switch so that continuous operation is ensured.

User Instructions User instructions must be provided on the safe. In addition, a copy may be provided as part of the in-room guest collateral.
